Types of reports you can order

Corporation Point-In-Time Report

This report displays information: from June 27, 1992 onwards,

  • on the public record for the subject corporation as a specific date from June 27, 1992 onwards
  • all active directors and officers as of the date specified
  • some historical information such as amalgamating corporations, where the subject corporation is an amalgamation, and name history

Directors and officers reported as ceased on document(s) filed on the “as of date” will be listed as inactive.

Corporation Profile Report

This report displays:

  • current information on the public record for the subject corporation
  • all active directors and officers are listed
  • name history
  • some historical information, such as amalgamating corporations, where the subject corporation is an amalgamation

Corporation Document List

This report displays:

  • all documents filed by the corporation and recorded on the Ontario Business Information System (ONBIS) since June 27, 1992
  • the name of the person authorizing the filing of a document filed under the Corporations Information Act.

List of Business Names Registered by a Corporation

This report displays a list of business names, including registration dates, (new/renewal) filed by the corporation within the previous five years.

Certificate of Status

This certificate displays the current status of the corporation.

Certificate of No Record

This certificate is issued if there is no record of the corporation in the Ontario Business Information System (ONBIS).

Certificate of Non-Filing

This certificate is issued based on information recorded in the Ontario Business Information System (ONBIS) on or after June 27, 1992 when a corporation has not filed under the Corporations Information Act. Additional historical information may exist on the Central Production and Verification Services Branch corporate microfiche.

Copy of Document/Notice

This is a copy of a Notice/Return filed by the corporation and is only available if a Corporation Profile Report is not available.

Transferred Corporation (TC) / Removed Corporation (RC) Files

TC or RC paper files are inactive files and are not stored at the Central Production and Verification Services Branch’s public office in Toronto.

They are made available 10 working days from date of ordering. Anyone viewing the paper files must leave their driver’s licence or other acceptable identification as a security deposit with staff at the front counter.

Paper files must not be removed from the Central Production and Verification Service Branch’s public office or taken apart and you must clearly identify the certified or non-certified copies of the pages that you require.

Corporate Microfiche

This is part of the official public record and includes incorporating and amending documents. It may not provide a complete and current record. The following documents will not appear on the microfiche record:

  • Initial Notices/Initial Returns for Ontario corporations filed after December 31, 1994
  • all Notices of Change filed after December 31, 1994
  • 1994/95 Special Notices (Year 3)
  • Notices of Intention to Dissolve/Notices of Opportunity to be Heard and Cancellation Orders for Failure to file a Special Notice or Annual Return
  • 1995 Annual Returns and forward

You can order all corporate search products online – except for Copy of Document/Notice and TC/RC paper files – from one of these private-sector service providers:

By mail, fax or in person

All corporate search products can be ordered in person or by mail.

The following products must be ordered in person, by mail or by fax:

  • Copy of Document/Notice
  • TC/RC paper files
  • *Microfiche

*You can also order a Microfiche online through one of the private-sector service providers.

Even if you request a Copy of Document/Notice, TC/RC paper files, or Microfiche by fax, you must pick up your search product and pay for it in person.

How to order a product

  1. Write your request in a letter or complete the Request for Corporation Information form
  2. Check to see what the required payment is for your product
  3. Send us your letter/form and payment:
    • By mail - Send a cheque or money order made out to the Minister of Finance to:
