SHSM team roles and responsibilities
This guide is for school and school board staff who are planning and delivering SHSM programs.
Overview
Your school SHSM team and your school board contact are responsible for implementing a high-quality SHSM program. Everyone needs to collaborate on ensuring program quality while:
- planning, delivering and evaluating your SHSM(s)
- analyzing program data
- meeting requirements for reports and deliverables
- promoting collaboration between other schools and partners
Your school SHSM team can include:
- school SHSM contact
- your principal and vice principals
- major subject teachers
- teachers of other required courses
- cooperative education (co-op) teachers
- guidance counsellors
- your school board contact

SHSM program pathways and components roles
Program pathways
SHSM's must support all 4 program pathways: apprenticeship, college, workplace and university. The team member(s) responsible must:
- ensure that approved SHSM credits are available for all 4 pathways
- submit a pathways chart to us for approval showing SHSM course availability by sector and by school for all SHSMs in you school board
- submit any interdisciplinary courses (IDCs) to the school board for their approval and documentation
- set up procedures to track each student’s credits and ensure they earn the bundle of credits they need for their program’s pathway and sector and area of focus
- develop a plan to facilitate the delivery of the 5 components of an SHSM for each of the 4 pathways
Major credits
Each SHSM student must select 4 major credits that meet program requirements. The team member(s) responsible must:
- confirm that selected credits:
- include at least 1 Grade 11 and 1 Grade 12 credit
- are on our SHSM-approved course list
- are appropriate for the student’s SHSM sector and the area of focus
- consider if each student would benefit from substituting 1 of the 4 major credits with a co-op credit related to the sector (in addition to the 2 required co-op credits)
Co-op credits
SHSM students must earn at least 2 co-op credits in their SHSM’s economic sector. The team member(s) responsible must:
- make sure each student in the SHSM program earns 2 co-op credits related to 1 of the SHSM credits (such as a major credit or 1 of the other required credits)
- support students in completing the co-op credit requirement (for example, through summer, after hours or online options)
Contextualized learning activities (CLAs)
CLAs (teacher-led, in-class activities) may be offered as part of an SHSM student's other required credit courses. The team member(s) responsible must:
- determine whether your school will offer CLAs.
- if offered, ensure that a CLA is delivered in each of the other required credit courses.
Certification and training experiences
Students must be able to obtain all the certifications and training required for their SHSM’s sector. The team member(s) responsible must:
- know the certification and training courses needed for your SHSM sector(s).
- decide on the delivery models you will use to offer these experiences.
- work with sector partners to reduce costs such as:
- using "train the trainer" options
- enrolling SHSM students in the sector partner's regular training programs
- establish and implement a procedure to track each student’s completion of the compulsory and optional certification and/or training required for their SHSM
Experiential learning and career exploration
SHSM students need opportunities for experiential learning and career exploration activities. The team member(s) responsible must:
- develop a plan to facilitate opportunities for these activities
- build and promote community support for these activities, such as plant tours, field trips or skills competitions
- determine and establish procedures to track each student’s completion of experiential learning and career exploration activities as part of their SHSM program
Sector-partnered experiences (SPEs)
Students need SPEs to complete their SHSM program. The team member(s) responsible must:
- develop a plan to facilitate the delivery of SPEs
- build relationships with sector partners who have expertise in SPE focus areas:
- innovation, creativity and entrepreneurship (ICE)
- coding
- math literacy
- determine and establish procedures to track each student's completion of SPEs as part of their SHSM program
Reach ahead experiences
Students pursuing an SHSM program need reach ahead experiences that connect with their postsecondary plans. The team member(s) responsible must:
- develop a procedure to record and assess these experiences to help with future planning
- establish and implement a procedure to track each student’s completion of reach ahead experiences as part of their SHSM program
Partnership roles
Colleges, universities and training centres
Foster relationships with colleges, universities and training centres and encourage them to get involved with your SHSM program by:
- communicating with them regularly to build partnerships
- encouraging their representatives to:
- be SHSM sector advisors to your school SHSM team
- participate in regional planning meetings, for example, in connection with the Dual Credit Program and the Ontario Youth Apprenticeship Program (OYAP)
Industry, business and community
Foster relationships with local industry, business and community members to:
- involve them in your SHSM program
- encourage them to be SHSM sector advisors to your school SHSM team.
Other schools and school boards
Build partnerships with other schools and school boards to help provide high-quality SHSM programs for students by:
- establishing partnerships to share responsibility for, or to help provide, the following as needed:
- course offerings
- sharing the expertise of teaching staff
- cooperative education
- contextualized learning and career exploration opportunities
- reach ahead opportunities
- certification and training
- program coordination and implementation
- student transportation
- establishing partnerships within the community and the sector
- establishing partnerships with colleges, training centres and universities
- marketing and communication
- data collection
Implementation roles
Student transportation
Coordinate student transportation logistics by:
- establishing a process for allocating transportation funds
- coordinating student transportation as needed (for example, for CLAs, career exploration activities, SPEs or reach ahead experiences)
Budgeting, allocating funds and reporting
Manage and report on the SHSM budget by:
- developing a budget for the SHSM program
- developing a plan for allocating funds
- consolidating school budget reports for submission to us
Student registration
Support and report on SHSM student registration by:
- setting up or refining the SHSM student registration process
- arranging the supports needed so that students with special education needs can register
- establishing data collection procedures for our reports
Track SHSM student progress
Ensure accurate information in the SHSM student record by:
- training the staff responsible on documenting and recording students' progress toward completing their SHSM
Promotion and marketing
Promote and market your SHSM(s) by:
- developing an SHSM strategy and a marketing plan for each school and the school board
- ensuring that every school plans SHSM promotion and awareness-raising activities in their communities
Program evaluation
Measure and evaluate the success of your SHSM by:
- setting up a process and developing tools to measure the success of your SHSM program using both quantitative and qualitative measures
- collecting and analyzing data about your program
School board level coordination
Support schools offering SHSMs and oversee reporting to us by:
- providing support to schools as needed
- facilitating meetings with (and between) school teams to promote the sharing of effective practices and strengthen collaboration
- ensuring that schools submit the local data required for our reports on time
